CANCELLATION POLICY: All requests must be in writing and postmarked by October 9, 2025 to receive a full refund (less a $25 processing fee). No refunds will be granted after October 15, 2025 or for registrants who fail to attend the conference. A co-worker may attend in place of a registered attendee at no additional cost, via a submission in writing to conference headquarters postmarked October 15, 2025 and received by October 30, 2025.
Media Policy: By registering for the conference, you agree that your image/voice recording may be used at any time, without further notification, for printed materials, web sites, social media, live-streaming, webcasts and other marketing and educational purposes for SIETAR USA.

The exhibit area will be accessible to exhibitors for setup on Wednesday, November 12th, at 1:00 pm. Please plan to have your exhibit ready for display by 5:00 pm, Wednesday, November 12th. All materials must be removed by 5:00 pm, Saturday, November 15th, 2025.
Booth Equipment
Standard booth equipment consists of one 30" X 6' table (or two tables depending upon payment), covered and skirted, one chair, and electrical outlets for video or computers. The exhibit area is very attractive and does not require a great deal of decoration. There is no “dead” space. You may bring your own set-up materials such as easels, dividers, and backdrop for signs, posters, special coverings, and so forth. Exhibitor Personnel are responsible for arranging shipping and delivery of equipment and supplies to the hotel (Fed-Ex / UPS). The hotel charges a box handling fee listed in the Exhibitor Services Request form.
Insurance
Exhibitors at the SIETAR-USA conference are required to provide both workers’ insurance for their employees or representatives and general liability insurance. Neither the Embassy Suites Downtown Portland nor SIETAR-USA will be responsible for any injury, loss or damage to the exhibitor, the exhibitor’s employees, or property, however caused. In addition, the exhibitor must assume responsibility for damages to the Embassy Suites Downtown Portland property, and indemnify or hold harmless the Embassy Suites Downtown Portland from liability that might ensue from any cause whatsoever, including accidents, or injuries to exhibitors, their representatives, or employees. The exhibitor must also assume responsibility for any accident, injury or property damage to any person viewing his/her exhibit where such accident, injury, or property damage is caused by the negligence of the exhibitor, his or her representatives, or employees.
Booth Attendant
Due to the tremendous value of some exhibits, it is impossible for SIETAR-USA to insure exhibitors’ equipment against loss, theft, damage and breakage. In their own interest and for security purposes, exhibitors shall keep an attendant in their booth during all exhibit hours. Exhibitor Personnel are responsible for making their own hotel and travel arrangements.
