By sponsoring at the SIETAR-USA conference, you will receive the following:

  • The opportunity to reach an audience of diverse specialists in the fields of intercultural communication, training, research, diversity, equity, inclusion and belonging within a three-day period. Our conference participants are professionals and students who travel, read, use, design, and purchase products and services such as yours.
  • An opportunity to highlight your products and services in the special Exhibitors Display area at the conference.
  • You will be acknowledged in our Conference Program materials, with a brief description of your products or services, along with contact information for your organization.
  • Similarly, we will create a special section on our conference website with links to your site in order to provide early exhibitors’ information to conference participants. The earlier you register with us, the sooner we can create this link with your organization.

  • Funds will be used toward lunch cost.

  • Signage with corporate logo at conference lunch

  • This sponsorship can be shared by multiple companies.

EXHIBIT DATES AND HOURS

Wednesday, November 12th

5:00 pm to 9:00 pm

Thursday, November 13th

8:30 am to 5:30 pm

Friday, November 14th

8:30 am to 5:30 pm

Saturday, November 15th

8:30 am to 4:00 pm


The exhibit area will be accessible to exhibitors for setup on Wednesday, November 12th, at 1:00 pm. Please plan to have your exhibit ready for display by 5:00 pm, Wednesday, November 12th. All materials must be removed by 5:00 pm, Saturday, November 15th, 2025.


Booth Equipment
Standard booth equipment consists of one 30" X 6' table (or two tables depending upon payment), covered and skirted, one chair, and electrical outlets for video or computers. The exhibit area is very attractive and does not require a great deal of decoration. There is no “dead” space. You may bring your own set-up materials such as easels, dividers, and backdrop for signs, posters, special coverings, and so forth. Exhibitor Personnel are responsible for arranging shipping and delivery of equipment and supplies to the hotel (Fed-Ex / UPS). The hotel charges a box handling fee listed in the Exhibitor Services Request form.


Insurance
Exhibitors at the SIETAR-USA conference are required to provide both workers’ insurance for their employees or representatives and general liability insurance. Neither the Embassy Suites Downtown Portland nor SIETAR-USA will be responsible for any injury, loss or damage to the exhibitor, the exhibitor’s employees, or property, however caused. In addition, the exhibitor must assume responsibility for damages to the Embassy Suites Downtown Portland property, and indemnify or hold harmless the Embassy Suites Downtown Portland from liability that might ensue from any cause whatsoever, including accidents, or injuries to exhibitors, their representatives, or employees. The exhibitor must also assume responsibility for any accident, injury or property damage to any person viewing his/her exhibit where such accident, injury, or property damage is caused by the negligence of the exhibitor, his or her representatives, or employees.


Booth Attendant
Due to the tremendous value of some exhibits, it is impossible for SIETAR-USA to insure exhibitors’ equipment against loss, theft, damage and breakage. In their own interest and for security purposes, exhibitors shall keep an attendant in their booth during all exhibit hours. Exhibitor Personnel are responsible for making their own hotel and travel arrangements.
