    This position includes responsibilities that are critically important to the educational mission and both strategic and daily operations of international student and scholar services at a highly-selective, globally focused liberal arts college. This position also serves a critical role in the College’s strategic plan to institutionalize inclusivity. The Assistant Director (AD) will help to foster a positive, inclusive culture on campus in a variety of ways including supporting efforts to build intercultural skills across our campus community. The AD serves as the campus Primary Designated School Official (PDSO) ensuring that the college and the international population are maintaining compliance with laws and regulations from the Department of Homeland Security and the Department of State. As part of the Center for Global Study & Engagement (CGSE) leadership team, the AD works closely with faculty and administrative offices across campus to develop, provide, and sustain high-quality services and programming for over 300 international students as well exchange students, scholars and international visitors.

    Essential Functions:

    • Oversee SEVIS and other federally required reporting to Departments of State and Homeland Security including J-1 Annual Report, F-1 Re-certification, and all updates to Form I-17 for institutional compliance and lead both F-1 and J-1 documentation issuance and advising services. Serve as DSO and ARO.
    • Coordinate with and be in regular communication with various offices across campus in support of international students and scholars, including: Admissions, Office of Equity and Inclusivity, Student Life, Academic Advising, Multi-lingual Writing Center, Wellness Center, Human Resources, Financial Operations, Registrar, and various other administrative offices and academic departments.
    • Participate in Strategic Planning efforts for CGSE including institutional-wide inclusivity and campus internationalization efforts
    • Lead, participate in, and assess the value of educational presentations, surveys, workshops, programs, and activities related to new student orientation, immigration regulations, cultural adjustment, and intercultural competency
    • Develop resources and practices to improve advising and communications with students and scholars on academic support resources, adjustment issues, personal and family concerns and compliance issues.
    • Supervise Coordinator/Advisor providing management, on-going training and oversight of professional development.

    Position Summary

    Earthwatch is seeking an organized and adaptable individual, who has an appreciation of science and experience in coordinating environmental, educational, or grant funded programs. The Program Coordinator will be responsible for supporting Program Managers in the creation and delivery of citizen science programs. In particular, they will be responsible for all aspects of preparing participants who are joining public and grant funded programs, coordinating logistics for programs, and stewarding scientists and partners. This position primarily works on Ignite LA – a grant funded program that places Los Angeles high school students on Earthwatch expeditions.

    The successful candidate must possess exemplary customer service skills. The role requires creativity and flexibility in an often fast paced environment. They will work closely with a team of Program Managers, Coordinators, and international staff and programmatic partners to deliver on the Earthwatch mission. 

    Essential Duties and Responsibilities

    Note: Specific tasks, projects and programs are distributed across Program Coordinators as needed for organizational effectiveness.

    Preparing participants for field expeditions

    • Deliver prompt, friendly and consistent high-quality customer service and participant stewardship
    • Field incoming phone calls from general inquiries, potential, and current participants
    • Collect materials and answer questions via email and phone communication
    • Collect, log, and screen participant forms
    • Conduct outreach, coordinate the application process, and review fellowship applications for grant-funded programs
    • Coordinate events, conference calls, and/or webinars for participants
    • Work across departments to resolve participant requests, questions, and overcome programmatic challenges
    • Transmit participant information to scientists
    • Respond to participant feedback and compile reports for programs

    Program & Project Support

    • Assist Program Managers with stewardship of scientists, funders, and partner organizations
    • Organize program logistics such as food, venue, and transport arrangements
    • Coordinate materials to and from scientists and programmatic partners
    • Support the creation and dissemination of key program materials (project briefing, flyers, emails, website, quarterly newsletters, social media and blog posts, etc.)
    • Develop, organize, request, and track documents with research partners, including annual contracts and risk management documents
    • Collect and share evaluation data for program reporting
    • Maintain program and participant data in the CRM database to a high standard
    • Embrace other program delivery and performance roles, as needed.

    Qualifications & Experiences

    • Bachelor’s degree or equivalent life experience; 1 – 3 years of experience in the non-profit sector, environment, education, sustainability, field research, or other related field

    Grant Management

    For a portfolio of programs, including the Ignite L.A. High School Student Fellowship Program, funded by individuals, foundations, corporations or other partners:

    ·         Provide excellent relationship management with funding partners, in collaboration with the Development team

    ·         Manage all aspects of funded program delivery to a high standard, including:

    o    Establishing clear program goals, objectives, deliverables, and delivery timeline

    o    Agreeing and managing appropriate partner communication and reporting processes

    o    Creating and managing grant budgets; approving and tracking all associated expenses

    Field Project Management

    For a portfolio of domestic, field-based research projects:

    ·         Serve as the primary liaison between Earthwatch and the project Scientists, acting as the ‘go to’ contact point and advocate for each project

    ·         Manage all aspects of field project delivery to a high standard, including:

    o    Finances – program/project budgets, scientist and partner payments

    o    Logistics

    o    Health and safety – risk assessments, emergency response plans, etc.

    o    Contract negotiation, including setting annual team dates and budgets

    o    Site visits, as required and depending on experience

    o    Training project and Earthwatch staff on Earthwatch protocols as needed

    ·         Create and annually revise detailed expedition Briefings to disclose risk, describe research and prepare volunteers for fielding

    ·         Develop, renew and retire projects in accordance with Earthwatch protocols and industry standards

    ·         Provide internal evaluation and feedback on each project

    ·         Work closely with the Research, Communications and FRE teams to support each project’s success

    Incident Management

    ·         Serve as an active member of the International Incident Management Team

    ·         Promote a culture of safety internally and externally

    ·         Serve as 24-hour on call Duty Officer 3-6 weeks per year

    ·         Coordinate incident management associated with projects managed; participate in incident management for other programs as needed.

    Line Management

    The Program Manager  will manage two direct reports, such as Program Coordinator(s), consultants, interns or volunteers.  Line management includes recruiting, retaining and developing talent within the team, as well as engaging and inspiring them around Earthwatch’s mission and business goals with clear objectives and constructive feedback.

    Position Requirements

    ·         Bachelors’ degree (science, environmental studies, international business, non-profit management or related field preferred)

    ·         3-5 years of experience in NGO sector, including working globally across regions

    ·         Proven track record in managing complex projects and programs

    ·         Ability to communicate with and develop good relationships at all levels, presenting information in varying degrees of technicality/ detail as the audience dictates

    ·         Experience supervising or managing people, preferably as a direct line manager providing professional guidance and supporting staff development
